Job Summary:
We are looking for a detail-oriented and organized Reservations Executive to manage and process reservations efficiently. The ideal candidate will be responsible for handling all reservation requests, ensuring room availability, and contributing to the development of room revenue and occupancy forecasts.

Key Responsibilities:

  • Process reservations by email, telephone, central reservation systems, and channel manager.
  • Handle reservations from the head office and travel agents.
  • Maintain knowledge of available room types, locations, and layouts.
  • Understand and communicate selling status, rates, and benefits of all packages and plans.
  • Apply the hotel’s credit policy and correctly code each reservation.
  • Create and maintain reservation records based on date of arrival and alphabetical listing.
  • Determine room rates according to the hotel’s selling strategies.
  • Prepare confirmation letters and communicate reservation information to the front desk.
  • Handle cancellations and modifications, ensuring prompt communication with the front desk.
  • Understand policies on guaranteed reservations and no-shows.
  • Process advance deposits and track future room availability based on reservations.
  • Contribute to room revenue and occupancy forecasts.
  • Prepare expected arrival lists for front office use and assist with preregistration when needed
  • Monitor advance deposit requirements and handle daily correspondence.
  • Maintain up-to-date files and ensure a clean, neat workspace.
  • Provide courteous, friendly, and helpful service to guests, managers, and staff.
  • Walk around with guests to ensure their needs are met and assist in arranging travel programs.
  • Gather information on areas of interest to target clients in specific seasons.
  • Open and close hotel availability on OTA channels, GDS channels, and the hotel website.
  • Configure rates on the hotel’s property management system.

Requirements:

  • Previous experience in reservations or front office operations.
  • Strong communication, organizational, and multitasking skills.
  • Knowledge of property management systems and OTA channels.
  • Attention to detail and ability to maintain accurate records.
  • Ability to work in a fast-paced environment and handle guest inquiries efficiently.
  • Flexible schedule to accommodate the demands of the role.
